Refund, Return and Cancellation Policy

This policy sets out how Lab Manufacturers China handles order cancellation, returns, refunds, transport damage and defective goods for laboratory equipment. Terms agreed in a signed sales contract prevail. Standard catalogue items, custom builds and consumables are treated differently. This draft requires legal review.

Which terms apply to returns and refunds?

This policy applies to laboratory equipment and accessories ordered from Lab Manufacturers China, address: Guangzhou, China. It is written for business customers. Your signed sales contract or proforma invoice may contain different terms, and those prevail over this page in case of conflict. Mandatory consumer rights do not apply to business purchases, and if you are buying as a consumer in a jurisdiction where such rights exist, please contact us before ordering.

All requests should be sent in writing to sales@labmanufacturerschina.com, quoting the order number, model and serial number. This policy is a draft and requires review by qualified legal counsel before publication.

Can an order be cancelled?

A cancellation request must be made in writing. The outcome depends on the stage of the order.

  • Before order confirmation: a quotation may be withdrawn or declined at no cost.
  • After confirmation, before production or procurement has started: we may accept cancellation and refund the deposit, less bank charges and any documented costs already incurred, such as design work or components ordered specially for your order.
  • After production or procurement has started: cancellation is at our discretion. Where accepted, a cancellation charge reflecting work completed and materials committed will apply, stated in writing.
  • Custom, OEM or ODM orders: these are made to your specification and normally cannot be cancelled once production has started. The deposit may not be refundable to the extent of costs incurred.
  • After shipment: cancellation is treated as a return.

The applicable percentages and time limits, if any, are set in the sales contract.

When can goods be returned?

Because laboratory instruments are configured, calibrated and shipped internationally, we do not offer open-ended return rights for change of mind. Returns are accepted in these cases.

  • The goods differ from the confirmed order, such as wrong model, missing items or wrong voltage.
  • The goods are defective or damaged on arrival.
  • The goods fail to meet the agreed specification and the fault cannot be corrected under warranty.
  • A return is approved in writing by us in other circumstances, at our discretion.

You must notify us within the period stated in the contract after delivery, normally within a short period, and before returning anything. We will issue a return authorization with instructions. Goods returned without authorization may be refused.

Returned goods should be unused, complete, in original or equivalent packaging, and accompanied by the authorization. Consumables, opened sterile items, software licences that have been activated, goods contaminated with biological, chemical or radioactive material, and custom-made goods are not returnable unless defective.

What should you do about transport damage?

On delivery, check the packing for visible damage and, where possible, note it on the carrier's delivery document before signing. Before unpacking further, photograph the outer packaging, the labels and any visible damage, then the instrument itself. Keep all packaging materials until the claim is resolved.

Notify us within the period stated in the contract, with photographs, order number and serial number. We will help you file a claim with the carrier or insurer, depending on the agreed trade terms, and will, at our choice and subject to the terms agreed, repair, replace or credit the damaged goods. If the goods are insured under our contract, the insurer's survey may be required before repair or replacement.

Please do not attempt to operate an instrument with visible damage, leaks or suspected internal damage, as this may create a safety risk and affect claims.

How are defective goods and warranty claims handled?

Warranty terms, including the warranty period, are stated in your quotation or contract. To make a claim, send the model, serial number, date of delivery, a description of the fault and supporting photographs, video or data. Our service engineer may ask for remote diagnostic steps first.

If the fault is covered, we will, at our choice, send replacement parts, arrange repair, or replace the unit. Shipping costs for warranty parts are normally borne by us during the warranty period, unless the contract says otherwise. For repairs that require return, the cost of shipping and customs clearance, and who bears it, will be agreed before shipment.

Faults caused by misuse, unsuitable samples or reagents, lack of maintenance, unauthorized repair, incorrect power supply or normal wear, and consumables, are not covered. We will tell you before carrying out any chargeable repair. The warranty does not extend the original period unless stated.

How and when are refunds paid?

Where a refund is due, we will confirm the amount in writing. It is calculated from the price paid for the affected goods, less any agreed deductions such as bank charges, documented costs of a cancelled custom order, or the cost of missing or damaged returned items. Shipping, insurance and import duties are refunded only where the contract says so or where we are at fault.

Refunds are paid by bank transfer to the account that made the payment, in the currency of payment, normally within 30 days after we have approved the claim and, for returns, received and inspected the goods. Bank fees and exchange rate differences charged by your bank are outside our control.

If you disagree with a decision, write to sales@labmanufacturerschina.com with your reasons and we will review it. Any dispute not resolved by discussion will be handled under the governing law and dispute terms in the sales contract. This policy is a draft and requires review by qualified legal counsel before publication.
